Refund & cancellation policy

This policy applies unless an accepted quotation or signed expedition agreement clearly provides different terms. To cancel, the booking customer must send a written request through the website contact form. Cancellation takes effect when AWA acknowledges receipt.

Customer cancellations

Government fees, climbing permits, restricted-area permits, airline tickets, visa services, payment-processing charges and supplier deposits that have already become non-refundable are deducted from any otherwise available refund. Expedition and peak-climbing deposits may be non-refundable once permits or logistics have been committed, as stated in the accepted quotation.

Advance and balance payments

The booking request form does not collect payment. After AWA confirms availability, a 10% advance is paid using the written bank transfer instructions. The remaining balance is due 30 days before departure, unless your accepted quotation confirms a different schedule. AWA may treat a booking as cancelled if the balance is not received by the due date after reasonable notice.

Changes requested by the customer

A date or trip transfer is subject to availability and unrecoverable supplier or permit costs. One transfer requested at least 60 days before departure may be approved for travel within 12 months. Price differences apply. Transfers are not guaranteed and are not available after services or permits become non-transferable.

Cancellation or material change by AWA

If AWA cancels before departure for reasons within its control, the customer may choose a suitable replacement trip, a credit, or a refund of amounts paid for services not provided. If cancellation or changes result from weather, unsafe mountain conditions, flight disruption, natural disaster, government action, illness outbreak, civil unrest or another event outside reasonable control, AWA will offer the most reasonable available alternative, credit or recoverable refund after deducting services supplied and non-refundable third-party costs.

Unused services and delays

No refund is provided for voluntarily unused accommodation, transport, meals, guiding or other included services. Extra costs caused by delays, early return, evacuation or itinerary changes are the traveller’s responsibility unless applicable law requires otherwise. Travellers should claim eligible losses from their travel insurer.

Refund timing

Approved refunds are initiated to the original payment method, normally within 10 business days after the amount is agreed. Banks and card networks may require additional processing time.

How to request a cancellation
